Frequently Asked Questions about the InterLibrary Loan Service


InterLibrary Loan (ILL) locates and obtains for you information resources that are not available in the Pendergraft Library's print, microform, or electronic collections. We obtain materials from other libraries and from commercial document delivery suppliers.

Currently enrolled Arkansas Tech students, currently employed Arkansas Tech faculty/staff and retired faculty by registering through the online registration form.
Pendergraft Library users who are not among these categories should use their public library for Interlibrary Loan assistance.

First, you need to choose specific items you need that are not owned by the Pendergraft Library. If you're not sure which particular books, journal articles, or other materials you need, contact the Reference Desk staff.
Once you have a specific book, journal, or other citation, you must fill out an Interlibrary Loan request form, use our web forms.
You can also request materials through Interlibrary Loan while using some of our databases, for example, FirstSearch.

You can get almost anything through Interlibrary  Loan. Some things are harder to locate and borrow however. Reference materials, dissertations and theses, complete issues of periodicals, rare books, genealogical materials, video tapes, audio tapes or CDs, and computer disks are sometimes unavailable or can take longer for us to find a willing lender.
Materials that are available in the Pendergraft Library should NOT be requested through ILL, however, you CAN request items that are lost, missing, or at the bindery.
You cannot request course textbooks through Interlibrary Loan. Faculty cannot request materials through ILL for the purpose of placing them on Reserve.

Requests are processed in the order in which they are received. If your ILL request form is not completely filled out, your request will be delayed while we contact you for missing information. If you request more than 10 requests in one day, we will spread the processing of your requests over a period of days so that all ILL users are served in a timely manner.

We use the OCLC online database, containing the holdings of over 40,000 libraries world-wide, to locate and request most materials. Some items, such as dissertations, patents, and other specialized materials are available through document suppliers and other sources.

This depends on what you are requesting and which library we request it from. This could take 2 days to 2 weeks. Items owned by specific libraries in Texas, Oklahoma and Arkansas may arrive within 48 hours. Items that are very recently published, unusual, or in a format other than a book or photocopy can take longer. ILL offices around the US usually don't operate during weekends and holiday periods, so at those times there can be delays.
If you have special needs requiring fast delivery, talk to the ILL staff about your situation and include your deadline on the request forms. We will try to meet your deadline. When your deadline is reached, we will stop trying to locate your material and let you know the situation. There may be an extra charge for fast delivery. Contact the ILL Office for more information about extra charges.
Feel free to contact the ILL Office to ask about the status of your request. If your material has not arrived and you have not heard from us within two weeks of placing your request, contact us to ask about it.

The charges for most ILL materials are paid for by the Pendergraft Library. There are some charges that the Pendergraft Library cannot pay for, however. These are extra charges for fast delivery, or for the costs of borrowing dissertations or other unusual works. These extra charges will be your responsibility if you decide you still want those materials.
Mark on your request form your willingness to pay up to a specified amount, if you are willing to accept some charges. If your actual charges would be more than the amount you wrote on your request form, we will contact you before we order to let you know what the charges will be and to give you a chance to cancel the order. The amount of these charges is determined by the delivery service (for fast delivery) or by the library or document supplier (for dissertations or other unusual works). If you choose to accept these charges, you will be billed through the Student Accounts Office after the materials arrive.

The ILL office will contact you by email when your materials are ready to be picked up.

Come to the Reference Desk.
If you have borrowed a book, you MUST pick up the book IN PERSON by showing your Tech photo ID card.
If you have borrowed a photocopy, it will be sent to your campus post office box or you can pickup at the Reference Desk.
(Photocopies for faculty/staff will be forwarded to their office via campus mail.)

Photocopies are usually yours to keep.
The loan period for books is set by the library that loaned the book to us. This loan period will vary according to the lending library. We can sometimes request ONE single renewal of no more than two weeks. The lending library decides whether or not to allow renewal.
The books we borrow through Interlibrary Loan are the property of other libraries. We respect those other libraries and their materials and appreciate their continued service. We also respect the due dates they have given for their books.
ILL materials returned after the due date written on the paperwork with the material will result in an overdue fine of $1 per day.

Return books and other ILL materials to the Reference Desk.
DO NOT LEAVE ILL BOOKS AT THE CIRCULATION DESK OR IN ANY BOOK DROP!!!
You are responsible for the materials until they reach the ILL Office.
